Conference Registration

1. These Terms – Why you should read them:

1. Please read these terms carefully before you submit your response/acceptance to us as they will be legally binding upon you.
2. These terms tell you who we are, how we will provide the Event to you and what to do if there is a problem and other important information.

2. Information about us and how to contact us:

3. How we may contact you. If we have to contact you we will do so by telephone or by writing to you at the email address or postal address you provided to us on this form.

3. Our Commitment to You:

1. VF Media will arrange a topical themed and focused Conference on the 27th February 2026 at Novotel London West.
2. We will provide full agenda and timing details for the Event closer to the date of the Event.
3. VF Media may need to alter the Event schedule but subject to any event beyond VF Media’s control, it shall attempt to give you a minimum of 48 hours’ notice before the time and date of the Event.

4. Your Commitment to Us:

1. You agree to participate in the Conference on the 27th February 2026. You will make your best endeavours to be there on time and attend the full duration of the Event.
2. Only pre-registered delegates may attend the Event unless agreed otherwise. Once we have received your booking form we will review and confirm whether your place has been accepted or not. Once Confirmed a member of our team will regularly contact you with event updates.
3. As a matter of importance, it is a material requirement that all delegates at the time of the Event are in a suitable role working for an industry company of interest to us, and not a vendor company or consultancy, as per the declaration below. If this is not the case, you must inform VF Media in advance and may be excluded from attending.
4. We recruit a limited number of national and global solution providers to sponsor our events (usually around 20). We select them based on the needs and requests of our attendees, and the themes of our events. As part of qualifying for a complimentary guest pass you agree to have at least 3 short introductory meetings with our sponsors. We will give you access to our event management portal a few weeks before the Conference so that you can select sessions of interest from the thought leadership programme, and review and select sponsors of interest to meet with.

5. Cost:

1. No costs will be incurred by you for attendance of this Event subject to the cancellation charge in clause 7 below. Please ensure that you can attend before returning this form otherwise, you will be liable for the charge set out below.

6. Food and Beverage:

1. VF Media will provide food and beverage throughout the official hours of the Event at no cost to you. Any additional costs incurred by the delegate will be his/her responsibility, such as accommodation and transportation fees, airfare, alcohol, phone, fax or other incidental charges, gift shop items etc. If you take part in the Conference, you will benefit from a full day knowledge sharing programme, peer to peer networking, and learning about some of the latest innovations.

7. Attendance Terms, Cancellation, and Substitution:

1. We look forward to welcoming you to the SCL HUB Supply Chain Conference, taking place on 27th February 2026 at Novotel London West.
2. This is a well organised B2B Event, and any empty seats may hinder the quality of discussions. as such, you agree to attend the Event for the full duration of the day:

• 8:00 – 9:00 am: Registration
• 9:00 – 9:45 am: Opening Keynote
• 9:45 am – 6:00 pm: Mixed thought leadership sessions consisting of roundtables, case study presentations, panel debates, workshops, exhibitions, and networking activities.
• 6:00 pm: Conference end time.
• 6:00 pm – 8:00 pm: Networking Reception including complimentary canapes, and alcohol and soft drinks (optional to attend).

3. Your attendance at the SCL Hub is free of charge. However, as we cover your meals, refreshments, and promote your attendance to our Supply Chain & Logistics community upon you registering, and due to the limited number of delegate places available, a cancellation fee of £500 will apply under the following conditions:
4. If you cancel on or after 19th December 2025 and your organisation does not provide a suitable replacement delegate, a £500 cancellation fee will be charged.
5. This fee reflects non-refundable costs incurred by VF Media for your place, including venue charges and services allocated for your complimentary guest pass.
6. If you are unable to attend due to unforeseen circumstances, you must arrange for a suitable colleague to attend in your place. Any replacement delegate must:

• Be approved in advance by VF Media; and
• Be confirmed prior to the start of the event. VF Media reserves the right to reject any proposed replacement if not appropriate for the event’s senior-level audience.

7. By submitting your booking form, you confirm that:

• You understand and accept the cancellation policy outlined above;
• Your name, job title, and company may be shared with our Supply Chain & Logistics community in connection with your attendance; and
• A professional camera crew will be onsite capturing highlights for use in post-event marketing content, and are aware that you may be in pictures and in a post event highlight video, or in the audience or a presentation taking place etc.
• You agree that VF Media may use any such photography or videography in promotional and editorial materials, both online and in print, without requiring further approval.
• Cancellation on your part must be provided to info@vfmedia.co.uk

8. Data Protection

1. VF Media holds and processes any information that you provide to it in accordance with the provisions of the GDPR and Data Protection Act 2018. For specific details of how VF Media processes and uses your data, please see its privacy policy at https://www.sclhub.co.uk/privacy-policy/
2. Specifically in relation to the information on this form and by completing it and returning it, you accept that VF Media will:
3. Process your details for the purposes of providing the Event and contacting you regarding your attendance;
4. Passing any dietary requirements to the venue for the purposes of catering;
5. Providing your details to the Event sponsors who may contact you prior to the date of the Event with any marketing information and post the Event about their goods and/or services;
6. Retaining your details to contact you about any future events or for post-event follow up (feedback, reviews or to arrange one-to-one meetings)

9. Force Majeure

1. For the purposes of these terms and conditions, Force Majeure Event means an event beyond the reasonable control of VF Media including but not limited to:

• strikes, lock-outs or other industrial disputes (whether involving the workforce of VF Media or any other party);
• failure or interruption in electricity, water or other utility services or supplies;
• failure or disruption of any transport network;
• act of God, flood, snow, storm, earthquake or other natural disaster;
• epidemic or pandemic;
• terrorist attack, civil war, war, riot, civil commotion or riots, threat of or preparation for war, armed conflict, imposition of sanctions, embargo, or breaking off of diplomatic relations;
• vandalism or malicious damage to any of the Services or Event Venue;
• nuclear, chemical or biological contamination or sonic boom;
• any law or any action taken by a government or public authority, including without limitation imposing any quarantine, lockdown or restriction on gatherings, quota or prohibition, or failing to grant a necessary licence or consent;
• collapse of buildings, fire, explosion or accident;
• non-performance by suppliers or subcontractors (other than by companies in the same group as the party seeking to rely on this clause).

2. If VF Media is prevented, hindered or delayed in or from performing any of its obligations under these terms and conditions by a Force Majeure Event, we shall not be in breach of this Agreement or otherwise liable for any such failure or delay in the performance of such obligations.

10. General

1. This agreement shall be governed by and construed in accordance with the laws of England and Wales and you hereby submit to the exclusive jurisdiction of the courts of England and Wales.

By signing below:

• I agree to adhere to the terms and conditions stated above including the processing of my personal data; and
• Understand that if I do not attend and do not provide a substitute then I shall be liable to pay a £500 cancellation charge to VF Media.
